Informing about the new employee
There should be named person in each RO, who is responsible for announcing ITC department, Human Resources (HR), payroll responsible (in RO and Helsinki) and CNE personnel about the new employee.
a) ITC department must be informed the following facts in case of new or changing rights:
- date of start
- first name (used name)
- surname
- title
- superior
- department/office
- system profiles (as AS400/Ficne1, LotusNotes)
- application profiles (as Movex, Infomanager)
- rights to 6. and 7. (AS400/Movex-group, or separate programs, groups to belong in LotusNotes/AddressBook)
Please notice that employee can not himself ask e.g. rights directly from ITC department. ITC department (Marja Henelius) must be informed before the start of the employment. When person is leaving the company (even temporarily for e.g. maternity leave), ITC department must be informed before the employee leaves. When person is leaving unexpectedly, ITC department must be informed immediately. In every special case, for example, moving mails of leaving person to someone else, process must be agreed lawfully in writing with the person and it must be agreed with ITC department. If employees user profile is wished to be copied to the new employee, it must be agreed with IT department beforehand. Pia Heiskanen is responsible for special rights to LotusNotes.
b) In addition to the facts listed above, payroll (in RO and Eeva Sarvi in Helsinki) must be informed the following facts:
- cost centre
- employee’s birthday
- INN code for tax authority
- address
- salary
Contract of employment made for the time beeing or temporary basis must be sent to Eeva Sarvi via HR.
c) The Head of the RO is responsible for announcing CNE personnel about the new employee, appointments etc. It can be made by email and the message should contain basic facts about the employee. The type of the employment should be mentioned as well (e.g. replacement, new employee, temporary positions).
